    Position Description

     

    POSITION TITLE: Customer Service Specialist                                                       

     

    DEPARTMENT:     G&A                   

     

    POSITION SUMMARY:  Reports to the CFO.  Assumes responsibility for order entry, shipping documentation and scheduling of outbound freight.

     

    SUPERVISION RECEIVED:  Works under the direction of the CFO.

     

    SUPERVISION EXERCISED:  None

     

    MINIMUM REQUIREMENTS:  2-5 years of logistic experience strongly preferred.  H.S. Diploma required, college experience preferred.   Demonstrated ability to multi-task, as well as strong communication and organizational skills.  Must be fluent in the English and well spoken.  Must understand fundamentals of MS Outlook and MS Word.  Experience in MS Excel preferred.  

     

    ILLUSTRATIVE DUTIES: 

     
    1. Take orders from customers via fax, email, Xign and Vaatz (automated order/and or invoice processing systems).

    2. Confirm price and availability of products.

    3. Prepare paperwork for certification (C of A).

    4. Prepare documentation and process shipping for export shipments including samples.

    5. Schedule order and process picking list for production.

    6. Process bill of ladings.

    7. Prepare order with proper paperwork (MSDS & shipping labels)

    8. Schedule outbound freight with trucking companies, and/or freight forwarding companies

    9. Prepare and coordinate shipments from 8 warehouses including Yuma warehouse.

    10. Assists Sales/Marketing with obtaining freight quotes for various shipments.

    11. Maintain a current filing system of customer invoices

    12. Maintain good customer relations

    13. Make informed decision on truck routing based on lead time, cost, damages, and customer service

    14. Process all customer shipping paperwork

    15. Responsible for customer shipping domestic and outbound international shipping logs

    16. Work with sales to initiate Return Authorization (RA) forms and record in RA log.

    17. Fax/email MSDS, PDS and commercial invoices to customers 

    18. Responsible for answering phones

    19. Attend and participate in the monthly TQMC meetings
