    PAY STATUS: Full-time 

     

    HOURS: 40 hours per week, Monday thru Friday, 8:00 a.m. to 5:00 p.m. Some evenings and weekends during events are required. 

     

    The Shelby County Chamber is currently seeking an Events & Special Program Coordinator, with strong communications skills, to spearhead Shelby County Chamber's special events, member programs, and sponsorship opportunities. This position is on-site at the Shelby County Chamber located at 501 North Harrison Street, Shelbyville. 

     

    Essential Duties & Responsibilities 

    The Events and Special Programs Coordinator's primary objective is to oversee all Chamber events and program activities including the Annual Awards Gala, Golf Outing, networking luncheons, roundtables, Annual Business Directory and Community Guide and many more. The position is responsible for ensuring every event is successful. This role also manages all Chamber social media platforms including Facebook, Twitter, Linkedln and lnstagram. The Events and Special Programs Coordinator works closely with the Executive Director, Communications Coordinator and ·Member Relations Manager and must be a team player. All Chamber staff are required to be advocates for the Shelby County Chamber and the community. As a member of our small office, you will also be called on to fill in other roles when necessary. Some office administration work and work with Leadership Shelby County may also be required.

     
    • Greet visitors as they come into the office and provide information about the county, chamber membership, etc.
    • Answer and direct phone calls accordingly.
    • Identify and cultivate strategic and beneficial sponsorship opportunities for members.
    • Book venues, vendors, exhibitors, and guest speakers.
    • Coordinate with all event committees, vendors, speakers, and partners during the event planning process to ensure everything is in order.
    • Work with Communication Coordinator to develop materials related to events including email campaigns, social media content, and printed event materials (including but not limited to signage, programs, nametags, etc.).
    • Determine staffing needs for special events and give guidance to volunteers and staff involved in event planning and execution.
    • Develop and maintain the Chamber database and shared files with all event details including timeline, vendors, and speakers.
    • Solicit donations needed for event raffles and silent auctions.
    • Maintain event budgets and meet event sales goals with sponsorships, ticket sales, and expenses in mind.
    • Evaluate member needs and develop new programs and events accordingly.
    • Maintain Chamber website using Chamber database.
     

    Job Requirements

    • A bachelor's degree in public relations, marketing, communications, hospitality management, or a related field preferred. 
    • Experience in event coordination preferred but not required.
    • Strong interpersonal and communication skills (written and verbal) as well as customer service skills are very important.
    • Ability to manage multiple projects and consistently meet daily, weekly, and monthly deadlines.
    • Attention to detail is required.
    • Must be a self-starter who is able work both independently and as part of a team
    • Computer proficiencies in Mac, MS Office - including Word and Excel. Familiarity with Adobe Design Suite (Photoshop, lnDesign and Illustrator) is a plus.
